Policies and Procedures
Introduction
The school has recorded policies and procedures since its very beginning. They have always been available in a parent handbook format to guide parents in sending their children to Three Rivers Waldorf School. Throughout our early history, there have been pushes furthering the work in this realm. Early Board President, Ruth Davis made one such effort. Policies and procedures are necessary in a mature school throughout all its areas. Great efforts were recently made by the whole school community during the 2008-2009 school year, to further compile, record and professionalize our policies and procedures for the current time. We are grateful for the vision of the Davis/Kenow family regarding this work, and for the grant from them that has made this most recent work possible.
Review
Most all of the included policies and procedures are listed in draft form. The review and approval process for each committee and body is and will be continuous in the life of the school. It is being built into the review and timeline process of each body and committee of the school. Transposing, updating and creating will keep the school’s policies and procedures current and fluid. These policies and procedures represent the beginning. More will be posted periodically as they are developed, reviewed and/or formatted. Please be patient with the process. Posting
These policies and procedures have been placed in an accessible format, on the school’s website, so that community members can refer to them as necessary. This format will also facilitate a simple updating process, as necessary. There is a master index of all included documents at the beginning of the posting. It notes the policy, procedure, or form name, the category and the number or letter of the document, the body of origin of the document, the date the document was last reviewed, what body or committee needs to review changes, a spot to note when the review was completed and what related documents there are.
Categories, Numbering/Lettering
Each policy, procedure or form is separated into categories based on their realm of origin in the school. These are the categories the policies and procedures have been divided into: Faculty (Fac), Council (Cnc), Board (Brd), Finance Committee or Business Office (Bus), Human Resources Committee (HR), Enrollment Office (Enr), Development Committee (Dev), Events Marketing and Enrollment Committee (EME), Parent Association (PA), and Facilities or Caretaker (Faci). Each policy is assigned a number, each procedure, a letter. Forms relating to policies or procedures receive the category heading and a form number.
Writing New Policies/Procedures
There is a section of the index with definitions of policies and of procedures. In addition there are worksheets for both types of document and blank templates for you to use in creating new policies and procedures. Your body or committee must approve the new document. Next you must get approval from your committee’s mandating group, and any other groups or committees who would be impacted by the new policy or procedure. Please use the prompt questions on the website policy and procedure index to guide you in this process. When this process is complete then the new policy or procedure and any necessary supporting documents can be properly proofread, numbered, and posted on the website.
